How to Inspect Gear?

Inspect equipment before pickup and after return to protect your business and maintain quality standards. For example, when a customer returns a camera kit after a weekend shoot, you can verify every lens, cable, and accessory, photograph any damage, and flag items needing repair—all before they leave the counter.

Inspection Types

Checkout Inspection Run before customers collect their rental to verify everything is in perfect condition. Creates a timestamped record protecting you from false damage claims.

Return Inspection Conduct when gear comes back from rental. Compare current condition to checkout inspection to identify any new damage.

Starting an Inspection

Navigate to Assets → Inspections or access from an order page.

Select inspection type: Checkout or Return.

Choose the customer order and select which items to inspect.

Performing Checks

Each item displays its inspection checklist based on the template assigned to its category.

Mark each checkpoint as Pass (green) or Fail (red).

Capture photos directly in the inspection wizard for visual documentation.

Add notes to record pre-existing scratches, serial numbers, or condition details.

Completing Inspection

Checkout Inspections System logs the verified condition with timestamp as evidence of departure state.

Return Inspections Items passing all checks return to Available status automatically.

Items failing checks move to Under Maintenance status and cannot be rented until repaired. See Handling Damaged Gear for details.

All inspection records are saved permanently and accessible from item history, order details, and inspections archive.
