How to Use Standalone Invoices?

Standalone Invoices in Rentablez are for billing that doesn’t come from a rental order. Any time you need to charge a customer for something outside the standard rental flow — a service fee, a damage charge, or a direct sale — this is where you do it.

Navigate to Finance → Standalone Invoices to view and create them.

How It Works

Create an invoice, add line items for what you’re charging, apply taxes, and save as a draft. When it’s ready, finalize it to lock the details and share it with your customer.

Charging Outside a Rental? — When to Use Standalone Invoices

Use standalone invoices whenever you need to bill a customer for something that isn’t part of an order:

Service charges — delivery fees, setup charges, consultation fees, or technical support.

Damage charges — billing a customer for damaged or lost equipment after the rental is closed.

Custom billing — anything your business needs to invoice for that doesn’t fit the standard rental workflow.

One-off sales — selling consumables, spare parts, or accessories directly to a customer.

Building the Invoice — Create a Standalone Invoice

Click Create Invoice.

Select the Customer to bill. Rentablez pulls their saved billing address and GST details automatically.

Add Line Items — click + Add Item for each charge. Enter the description, quantity, unit rate, and tax profile for each line.

Add any Notes or payment terms you want to appear on the invoice.

Click Save to create it as a draft, or Finalize to lock it and make it ready for payment.

Click any invoice in the list to open a full preview. From there you can download it as a PDF, print it, or share it directly with your customer.

The list shows each invoice’s number, customer, total amount, status, and creation date at a glance.

Recording Payment

Once the customer pays, record it against the invoice using How to Record Payments?. The status updates to Partially Paid or Paid automatically as payments come in.
