How to Manage Pickups?
Use the Outbound tab to dispatch equipment to customers — whether your team is delivering or the customer is collecting. Every order in Reserved or Partially Dispatched status shows up here, ready to be processed.
How It Works
Find the order in the Outbound list, open the dispatch detail page, select the assets you’re sending, complete any required inspections, and confirm the dispatch. The order status updates automatically.
Find the Order
Click Operations Hub in the sidebar. The Outbound tab opens by default.
Use the Search box to find the order by order number, customer name, or phone.
Click Overdue to see orders that are past their scheduled date, or Today to see orders due now. Orders with a red border are overdue — check those first.
Click the → arrow on the row to open the dispatch detail page.
Tip: Click the order number to see a quick summary — customer phone, scheduled date, and item count — without leaving the list.
Select Assets to Dispatch
The detail page splits into two panels. The left panel shows all assets on the order.
For regular and kit assets, each individual unit (identified by its asset tag like ASST-001) appears as a card. Check the box next to each unit you’re sending out.
For bulk assets, use the − and + buttons to set the quantity you’re dispatching.
If some items were already dispatched in an earlier run, a banner at the top of that group shows which asset tags were sent.
Check Inspection Status
Each asset card shows a badge telling you its inspection status:
- No inspection required — you can dispatch it immediately.
- Inspection Required — you must complete an inspection before the checkbox activates.
- Complete (passed) or Complete (failed) — inspection is done, asset is ready to select.
- Ready to Inspect or In Progress — inspection is scheduled or underway.
When you select an asset in the left panel, the right panel shows its full inspection details or the active inspection form.
Run a Pre-Dispatch Inspection
If an asset shows Inspection Required, click Start Inspection on its card.
The inspection form appears in the right panel. Fill out each checklist item — questions, pass/fail checks, ratings, or photo captures depending on your template.
The form saves automatically as you go. Once you submit, the badge updates to Complete (passed) or Complete (failed) and the checkbox becomes active.
Note: If you have permission, you can click Override on an asset card to skip a mandatory inspection. This is recorded in the audit trail.
Confirm the Dispatch
Once you’ve checked all the assets you’re sending, click Confirm Dispatch X Item(s) at the bottom right.
For self-pickup orders (customer collects), the button reads Confirm Handover X Item(s) instead.
The button stays disabled if any selected asset has a mandatory inspection that isn’t complete yet. The bottom bar shows a warning telling you which items still need attention.
Use Select All in the bottom bar to select every eligible asset at once.
What Happens Next
After you confirm:
- Dispatched items are recorded against the order.
- The order status changes to Partially Dispatched if some items remain, or Rented Out once everything is out.
- You’re taken back to the Outbound list.
You’re All Set!
You’ve successfully dispatched assets from the Operations Hub. Repeat the same process for any remaining items if it was a partial dispatch.
