How to Complete Maintenance?
Once a service job is scheduled in Rentablez, your team moves it through three stages — Start, Complete, and optionally a Quality Check — before the asset is released back to inventory. Every step is logged automatically with a timestamp and the name of who performed it.
Job Ready to Start? — Mark It In Progress
Find the job in the Service & Repair list under the Active tab.
Click Start on the row. A date picker appears — confirm the actual start date and click Start again.
The job status changes to In Progress. The job detail drawer shows how many days into the service window you are and a progress bar showing the percentage of scheduled time elapsed.
Note: Overdue jobs show a red Start button. Start them as soon as possible — the asset remains blocked from rentals until the job is completed.
Work Done? — Complete the Job
Click Complete on the in-progress job row, or open the job detail drawer and go to the Complete tab.
Set the Completion Date.
Add Completion Notes — describe what was done. You can pick from quick templates (Preventive Service Complete, Corrective Service Complete, Routine Inspection Complete, Emergency Repair Complete) or type your own.
If you want to log costs — parts, labor, external service charges, or transport — open the Costs tab in the drawer and add them before completing.
Click Mark Complete (or Complete & Schedule Next if you’re scheduling the follow-up at the same time).
Quality Check Needed? — QC Inspection
When completing the job, tick Require QC Inspection if the asset needs to be checked before going back into stock. This holds the asset in QC Pending status even after the work is finished.
Once the check is done:
Click QC Passed — the asset status changes to Available immediately and can be booked for new rentals.
Click QC Failed — the asset stays under maintenance. The job can be rescheduled for further work.
Note: The asset remains unavailable to renters until QC is passed. Don’t skip this step if the repair involved critical components.
Same Asset Due Again? — Schedule the Next Service
When marking a job complete, tick Schedule Next Maintenance if you want to queue up the follow-up service immediately.
Choose Recommended to let Rentablez set the next dates based on the recurrence interval you configured when scheduling, or pick Custom to set specific start and end dates manually.
Set the Reminder and Repeat Every options for the new job, review the summary, and click Complete & Schedule Next. Rentablez completes the current job and creates the next one in a single step.
Job No Longer Needed? — Cancel
Open the job detail drawer for any Scheduled or In Progress job.
Click Cancel and confirm. The job status changes to Cancelled and the asset is released back to Available inventory immediately — no need to wait for a completion date.
Use this if a repair was done elsewhere, the asset was written off, or the job was created by mistake.
Tracking Everything — Activity Log
Click the clock icon in the top right of any job detail drawer to open the Activity tab. Every action taken on that job is listed chronologically — who created it, who started it, when it was completed, what costs were added, and any updates made along the way. This is your full audit trail for every service job.
You’re All Set!
The job is complete and the asset is back in stock. If you set a recurrence, Rentablez has already created the next service job in the background.
