How to Schedule Maintenance?

Use Service & Repair to schedule any service job — a routine check, a breakdown repair, or a recurring preventive maintenance run. Rentablez generates the Job Card automatically, blocks the asset from bookings during the service window, and sends your team a reminder before it’s due.

Click + Schedule Service in the top right of the Service & Repair page to begin.

How It Works

Fill in the asset, service type, dates, and assignment. Rentablez creates the job with Scheduled status and a unique Job Card number. Your team can then start and complete it directly from the list.

Something Broke? or Routine Service? — Choose the Type

In the Equipment field, search for the asset needing service and select it.

Select the specific Asset Tag — the individual stock unit you’re putting into service.

Choose a Service Type — for example, Breakdown, Preventive Maintenance, Calibration, or any type your team has created. If the type doesn’t exist yet, type the name and select + Add to create it on the spot.

How Urgent Is It? — Set Priority

Select the Priority: High, Medium, or Low. This shows as a colored dot in the list so your team knows what to tackle first.

When Is It Happening? — Set the Dates

Pick the Start Date and End Date for the service window. Rentablez uses these dates to block the asset’s availability if you’ve enabled the block option.

Who’s Handling It? — Assignment

Set the Assignment Type:

None (Unassigned) — the job is logged but not assigned to anyone yet.

Internal Staff — select a team member from your staff list. They’ll be associated with this job card.

External Vendor — enter the vendor’s details if you’re sending the asset to a third-party repair shop.

Need to Block the Asset? — Availability Control

The Block equipment availability checkbox is ticked by default. When ticked, Rentablez marks the asset as unavailable from the start date to the end date — it won’t appear as bookable for any rental during that window.

Uncheck it only if the asset can still be rented out while the service is happening (for example, a software update that doesn’t require physical downtime).

Add Any Notes

Use the Notes field to describe the issue or list any special instructions for the technician — for example, HDMI port loose or Sensor cleaning required, handle carefully.

Want a Heads-Up? — Set a Reminder

Choose how far in advance Rentablez should send a reminder notification: 1 day before, 3 days before, 7 days before, or 14 days before. Select No reminder to skip it.

The default is 3 days before.

Same Job Every Quarter? — Set It to Repeat

Use Repeat Every to make this a recurring service job. Options are:

  • 30 days — monthly
  • 60 days — every two months
  • 90 days — Quarterly
  • 180 days — Half-yearly
  • 365 days — Annual

When the current job is completed, Rentablez automatically creates the next one at the set interval. Select Don’t repeat for a one-time job.

Create the Job

Click Schedule. Rentablez creates the job, generates the Job Card number, and adds it to the Service & Repair list with Scheduled status.

Note: The Job Card number is generated automatically on creation — you’ll see it in the info box once saved.

You’re All Set!

The service job is scheduled. Your team will see it in the Active tab and receive a reminder before it’s due. When the work begins, they click Start from the list. See How to Complete Maintenance? for what happens next.
