How to Manage Ground Staff?
Ground staff are the people who physically handle your rental operations — drivers, delivery crew, warehouse operators, and field technicians. In Rentablez, you can register them, assign roles, and track their involvement in pickups, returns, and maintenance tasks.
Before You Start
Make sure you have Settings Write permission to add or edit ground staff. You’ll also want to set up Ground Staff Roles first so you can assign roles during creation.
How it Works
Go to Settings → Ground Staff to open the Ground Staff Directory. From here you can add new staff, edit existing members, filter by status, and delete staff who are no longer needed.
Add a New Ground Staff Member
- Navigate to Settings → Ground Staff.
- Click Add Staff in the top-right corner.
- Fill in the details:
- Staff Name — Full name of the staff member (required).
- Role — Select from your configured Ground Staff Roles (required).
- Contact Number — Phone number for dispatch coordination (optional).
- Skill Category — e.g., Electrical, Mechanical, General (optional).
- Assigned Branch — The branch or location the staff member belongs to (optional).
- Status — Toggle Active or Inactive (defaults to Active).
- Notes — Additional notes about the staff member (optional).
- Click Create.
The new staff member appears in the Ground Staff Directory and can be assigned to operations like pickups, returns, and maintenance.
Edit a Ground Staff Member
- In the Ground Staff Directory, click the Edit button on the staff member’s row.
- Update any details — name, role, contact, skill category, branch, status, or notes.
- Click Save.
Deactivate or Delete Ground Staff
- To deactivate, edit the staff member and toggle their status to Inactive. They will no longer appear in assignment dropdowns but their history is preserved.
- To delete, click the Delete button on the staff member’s row. Confirm in the dialog by clicking Delete. This permanently removes the record.
Note: You cannot delete a staff member if they are currently assigned to active orders or maintenance tasks.
Filter and Search
Click the Filters button to show the filter panel:
- Search — type a name, role, or contact to search.
- Status — filter by All, Active, or Inactive staff.
Click Search to apply, or Reset to clear all filters.
The Ground Staff Directory Table
The table shows the following columns:

Managing Ground Staff Roles
Before adding ground staff, set up the roles they can be assigned to.
Create a Role
- Navigate to Settings → Ground Staff → Roles tab.
- Click + Add Role.
- Enter the Role Name (e.g., Driver, Warehouse Operator, Field Technician).
- Click Save.
Edit a Role
- Click the Edit icon next to the role.
- Update the role name.
- Click Save.
Delete a Role
- Click the Delete icon next to the role and confirm.
Note: You cannot delete a role that is currently assigned to active staff members. Reassign those staff first.
