How to process and manage orders

Track and manage orders through their complete lifecycle from booking to return. For example, when a customer reserves camera equipment, you can update the order status from Reserved to Rented Out when they collect it, then to Return when they bring it back, and finally to Completed once everything is inspected and payment is settled.

How it Works

After creating an order, you process it by changing its status through the workflow: Draft → Reserved → Rented Out → Return → Completed. Each status change represents a step in the rental lifecycle.

View Order Details

Click Orders from the main navigation.

Click on any order to open it.

The order opens showing three tabs: Order Info for customer and assets, Billing & Financials for invoices and payments, and Documents for attached files.

Change Order Status

Find the Status dropdown at the top of the order.

Select the new status from the dropdown: Draft, Reserved, Rented Out, Return, Completed, or Cancelled.

The order status updates immediately.

Note: Each status represents where the order is in the rental process.

Reserve an Order

Open the order in Draft status.

Change status to Reserved.

The system blocks the assets from other bookings, locks in the rental dates, and marks customer commitment.

Reserved orders appear automatically in the Outbound tab of the Operations Hub — that’s where your team picks them up to dispatch.

Generate invoice if needed from the Billing & Financials tab.

Mark Order as Rented Out

When the customer picks up the assets, change status to Rented Out.

This indicates that the customer has received the assets, the rental period has started, and assets are no longer in your warehouse.

Process Returns

When the customer returns assets, change status to Return.

This means assets are being returned (full or partial), return inspection is in progress, and you’re preparing for order completion.

Complete the Order

After all assets are returned and payment settled, change status to Completed.

This marks that all assets are returned, final payment is received, and the order is closed.

Completed orders appear in reporting and history.

Cancel an Order

If needed, open the order and change status to Cancelled.

Confirm the cancellation.

This frees up reserved assets, makes inventory available again, and keeps the record for history.

Note: Cancellation can happen at any stage before completion.

Edit Order Details

Open the order and go to the Order Info tab.

You can add or remove assets, change quantities, update dates, modify customer information, and adjust discounts.

Click Save after making changes.

Note: Some changes may not be allowed if the order is in Rented Out or later status.
