How to manage pickup and delivery
Coordinate equipment handover to ensure assets reach customers on time and in perfect condition. For example, when a customer arrives to collect their rented projector and screen for a presentation, you can verify the equipment condition, hand it over, and instantly mark the order as Rented Out—automatically updating inventory and rental tracking.
How it Works
When an order is ready for pickup, you mark the assets as picked up in the system. This updates the order status and inventory tracking automatically.
Prepare for Pickup
Open the order that’s ready for pickup.
Ensure the order status is Reserved (not Draft). Reserved orders are also visible in the Outbound tab of the Operations Hub, where your warehouse team processes dispatches.
Review the asset list to see what the customer is picking up.
Verify the pickup date and time.
Process Pickup
Note: “Picked Up” in Rentablez means “customer has the assets”—whether they collected in person or you delivered to them. Both actions use the same button.
When the customer arrives to pick up the assets, click Mark as Picked Up or change the order status to Rented Out.
Confirm the action.
The system updates the order status to Rented Out, marks all assets as out with customer, updates inventory levels, and records the pickup timestamp.
Verify Before Handover
Before giving assets to the customer, check the asset condition, ensure all accessories are included, test equipment if applicable, and take photos if needed.
Upload any photos to the Documents tab.
Confirm the quantities match the order.
Hand over the assets and mark as picked up in the system.
Schedule Delivery
If you’re delivering to the customer instead of them picking up, note the delivery address in the order.
Check the Shipping Address field.
Plan your delivery route and timing.
Update the customer with the delivery window.
When delivered, mark the order as picked up in the system.
