How to process asset returns

Process equipment returns smoothly by inspecting condition and updating inventory automatically. For example, when a customer returns rented sound equipment after an event, you can inspect each item for damage, mark the return in the system, and if everything is in good condition, the equipment immediately becomes available for the next rental.

How it Works

When assets come back, you mark them as returned in the system. This updates inventory, calculates final charges, and moves the order toward completion.

Prepare for Return

Open the order that’s being returned.

Verify the return date and time.

Review which assets should be coming back.

Prepare your inspection area and tools.

Process the Return

When the customer returns the assets, open the order.

Click Mark as Returned or change the status to Return.

Inspect all assets before accepting.

If everything is in good condition, confirm the return and change the order status to Completed.

The system updates inventory to available, marks assets as returned, records the return timestamp, and enables final billing.

Inspect Returned Assets

Before accepting the return, check the condition by looking for damage or wear, testing functionality, and comparing to checkout photos.

Verify completeness by ensuring all accessories are included, original packaging is present if required, documentation or manuals are returned, and any cleaning supplies used are accounted for.

Document your findings by taking photos of any damage, uploading them to the Documents tab, noting issues in order comments, and determining if charges apply.

Handle Damages or Issues

For minor wear that’s acceptable, accept the return normally with no additional charges and mark as complete.

For damage beyond normal wear, document it with photos, calculate damage charges, discuss with the customer, add charges to the invoice, and get customer acknowledgment.

For missing items, list what’s missing, check if it was reported lost versus forgotten, calculate replacement cost, and add to the invoice or follow up.

For late returns, calculate extra rental days, apply late fees if configured, update billing, and discuss with the customer.

Complete the Return

After inspection and any damage charges are assessed, update the order status to Completed.

Settle the final payment if there’s any balance.

Return the security deposit if applicable.

Thank the customer.
