Dashboard

When you first log in to Rentablez, the Dashboard is the first screen you see. This is your business’s “control center,” designed to give you an immediate snapshot of your daily operations.

From here, you can check the status of today’s rentals, monitor your revenue, and access quick actions without navigating deep into the menus. It helps you answer the question: “What needs my attention right now?”

Dashboard Layout Overview

Your Dashboard organizes critical information into clear sections to help you work efficiently.

Your Dashboard displays key information in organized sections:

  • Top Navigation: Search bar, notifications, and user profile settings.
  • Metrics Bar: High-level numbers (Orders, Revenue, Inventory Status) across the top.
  • Main Content Area: Widgets for calendar, recent activity, and charts.
  • Sidebar: Navigation to all other modules in the system.

Key Metrics & KPIs

At the very top of the dashboard, you will see a row of key performance indicators (KPIs) that update in real-time. These numbers tell you the health of your business at a glance:

  • Today’s Orders: The number of rentals starting or active today.
  • Revenue Summary: A quick view of your earnings (often configurable to show daily, weekly, or monthly totals).
  • Available vs Rented Items: Instantly see how much of your fleet is out earning money versus sitting on the shelf.
  • Upcoming Pickups: Orders that are confirmed and need to be prepared for customer collection today.
  • Upcoming Returns: Items that customers are scheduled to bring back today, helping you plan your check-in process.
  • Overdue Items: A critical alert showing rental items that should have been returned but are still out.
  • Pending Enquiries: New requests from customers that need a quote or response from your team.
  • Low Stock Alerts: Warnings for bulk items that are running low in inventory.

Dashboard Widgets & Sections

Below the metrics, the dashboard is divided into interactive widgets that provide deeper insights.

Each widget provides specific information and quick actions:

  • Calendar View: A visual timeline showing when items are booked. Color-coded bars make it easy to see busy periods.
  • Recent Activity: A live feed of what’s happening—new orders created, payments received, or customer updates.
  • Quick Actions: Shortcuts to common tasks like “New Order,” “Add Asset,” or “New Customer” so you don’t have to search the menus.
  • Revenue Charts: Visual graphs that track your income trends over time, helping you spot seasonal peaks.
  • Asset Utilization: Lists your most popular items, showing you what equipment is making the most money.
  • Notifications Panel: Alerts about important system events, such as a payment failure or a new staff message.

Customization Options

You can tailor the Dashboard to fit your specific role or preferences:

  • Adding/Removing Widgets: If you don’t need to see “Revenue Charts,” you can often hide that widget.
  • Rearranging Layout: Drag and drop widgets to put your most used tools (like the Calendar) at the top.
  • Default Date Ranges: Set your charts to always show “Last 30 Days” or “This Quarter” by default.
  • Custom Views: Save your preferred layout so it loads every time you log in.

Quick Actions from Dashboard

You don’t always need to leave the dashboard to get work done. Directly from this screen, you can:

  • Create a New Order: Launch the order builder immediately.
  • Search: Find a specific customer or asset using the global search bar.
  • View Reports: Click on revenue charts to jump straight to detailed analytics.
  • Access Calendar: Click on a specific day in the widget to open the full daily schedule.
  • Respond to Alerts: Click on a “Pending Enquiry” notification to open that customer’s request.

Filtering & Date Ranges

Most dashboard widgets allow you to filter the data they display:

  • Time Periods: Toggle between “Today,” “This Week,” or “This Month” to see short-term vs. long-term trends.
  • Location/Category: If you have multiple branches, you can filter the entire dashboard to show data for just one location.
  • Refresh Data: While data updates automatically, you can often manually refresh to ensure you are seeing the absolute latest figures.

Tips & Best Practices

  • Morning Routine: Start every day by checking “Today’s Pickups” and “Returns” so your team knows exactly what to prepare and expect.
  • Watch Overdue Items: Check the “Overdue” metric first thing. Immediate follow-up with these customers often leads to faster returns.
  • Role-Based Views: If you are in sales, maximize the “Enquiries” and “Revenue” widgets. If you are in operations, focus on “Calendar” and “Inventory Status.”
  • Use Shortcuts: The “Quick Actions” buttons can save you dozens of clicks a day compared to navigating through the sidebar.
